Use your own information

Recent inspections, near misses, equipment issues, seasonal changes, upcoming work and recurring hazards give you relevant topics without inventing a lecture.

Keep one clear focus

A short meeting about one issue is easier to remember than ten unrelated reminders. Explain why it matters, what workers should watch for and what the company expects them to do.

Ask questions that need real answers

Instead of asking “Does everyone understand?”, ask where the crew sees the hazard, what control is working, what has changed or what makes the task difficult. The discussion can reveal information the written topic never would.

Finish with action

If the discussion identifies a problem, capture it. Assign an action when needed and follow up later. That turns the meeting into part of the safety system rather than a separate paperwork requirement.
